- Business Information: Dairy name, business address, and contact details for setting up your Milkman Profile.
- Customer Data: To facilitate your deliveries, you may input data regarding your customers (names, delivery addresses, phone numbers, milk requirements, and payment ledgers). You represent that you have obtained consent from your customers to process this data.
- Financial Data: Ledgers, invoice history, payment cycles, and advance payment records essential for the platform's billing automation.
2. Third-Party Integrations & Communications
Our platform integrates with external APIs to enhance your operational efficiency:
- WhatsApp / Meta Cloud API: We transmit invoice details and payment reminders via WhatsApp based on your configurations. Your data processing is subject to Meta's privacy policies.
- Email Providers: We use secure SMTP providers (such as SendGrid or Postmark) to dispatch system alerts and PDF invoices.
3. Data Retention and Deletion
We retain your data as long as your account is active. When an account is deleted, financial records (invoices, ledgers) are retained for compliance with tax laws, while non-essential user data is purged via our automated retention scripts within 30 days of account closure.
